Step by Step Guide
Step 1 - Navigate to Configuration and under Financials select Payment Plans
Step 2 - Click the +Payment Plan Template button
Step 3 - Complete the details in each section (General Options, Fee Options, Charge Distributions, Make Plan Exclusively Available to Members of Selected Groups).
- Start Day of Month: Is the day of the month that the plan will commence. For Example: 1 is the 1st of Jan or 23 is the 23rd of Jan. If the day of the month for the current month / selected month is in the past it will add a month on the date until it is after today.
- Plan Start Offset to Membership Start: Will override above start of plan parameters (Day of Month, Day of Week and Month). This setting adds 'x' number of days to Primary Membership Start Date. Above Parameters are still required for adhoc (not membership related) invoices on a payment plan.
- Example: If this setting is set to 15 and the start of the membership period is 01/07 - the plan will start on the 16/07.
- Calculate Instalments By End Date/Number of Instalments: Either enter in the number of instalments to be applied to the payment plan or tick Calculate Instalments by End Date box and type in day and select the month the payment plan is to end on.
- New Agreement Required for Each Plan: Tick this box if a new Direct Debit Agreement is to be completed by members each year in order to pay their membership invoice via this payment plan template.
- Other Fee Description: Payrix only. This is displayed on the eDDR form and can be used to inform the member of additional fees that may apply to instalments. eg: $15 Dishonour Fee
- Charge Distributions: This setting defines charges to be paid on specific instalments rather than have them distribute equally across all instalments. Do not add charges that you want evenly distributed across ALL instalments
- Example: A $300 club levy charge is to be paid in the first 3 instalments of a 12 month payment plan. Add the charge and select instalments 1, 2 and 3. A golf affiliation fee is to be paid up front. Add the charge and select instalment 1. The $3000 membership charge that is to be paid in equal amounts across all instalments does not need to be added here.
Step 4 - Once all details are entered click the Save button
After the payment plan template has been created it can be assigned to a member. Please refer to our Assign Payment Plan Template to a Member guide for instructions.
