Managing Waitlist Group Statuses

This process is only applied when the MiMembership site has been configured to use the Waitlist Status. A membership group must have a Member Limit and be at capacity before the Waitlist Status becomes available.


Note: this process cannot be implemented in conjunction with the MiMembership online membership sign up form. Please contact MiClub Support for more information on how to implement and manage Group waitlists to best suit your requirements.


Quick Guide


Step 1 - Add a Member Limit to all Groups that require a Waitlist Status

Step 2 - Add a membership Group to the member record

  • If this addition exceeds the Group limit the system will prompt you to add the membership to the waitlist

Step 3 - Move the membership Group from the Waitlist to an Active Status and Invoice

  • All groups with a Waitlist Status can be found in the membership repository (Waitlist Tab) 
  • Use the Action Menu option Activate and Invoice the membership when you would like to move the Group from the waitlist to an active membership
  • Use the Action Menu option Delete to remove the membership Group from the waitlist
  • Use the Waitlist report to review waitlisted members (Reports > Membership > Waitlist Members)

Step by Step Guide


Step 1 - Add a Member Limit to all Groups that require a Waitlist Status

  • Navigate to Configuration > Members > Groups
  • Edit the Group and enter the maximum number in the Member Limit field and Save
  • Repeat for each Group that requires a limit



Step 2 - Add a membership Group to the member record

  • Navigate to the Memberships page in the member record and select the +Membership button
    • If you have just completed creating a new member record, select the 'Add Membership Groups' option from the taskbar located top of screen
  • Enter the Start Date for the membership group, then select the appropriate group (tick box) and Add Group

  • Accept or select the Facilities option, then Save

  • If this addition exceeds the Group limit the system will prompt you to add the member to the waitlist - click Add to Waitlist button. The membership Group will be added to the member record with a Waitlist Status





Step 4 - Move the membership Group from the Waitlist to an Active Status and Invoice

  • Navigate to the membership repository Waitlist Tab; from the main menu Members > Memberships
  • Locate the member in the list to move from the Waitlist to Active Status
  • Select the Activate and Invoice option from the Action drop menu
  • Check invoice dates and charges and Save

Notes:

  • Use the Action Menu option Delete to remove the membership Group from the waitlist
  • Use the Waitlist report to review waitlisted members (Reports > Membership > Waitlist Members)
  • End any membership groups the activated Waitlisted group replaced
