Adding an Invoice to an Existing Payment Plan

If a member already has a payment plan, you can add additional invoices to the existing plan rather than creating a new one.

The additional invoice amount can be allocated in one of two ways:

  • Distribute Across All Unpaid Instalments: Divide the invoice amount equally across all remaining unpaid instalments.
  • Add Invoice to a Selected Instalment: Add the full invoice amount to one specific instalment.

For example, this process can be used to add an invoice for recovering dishonoured instalment fees to a member’s existing payment plan.

Step 1 – Open the member’s payment plan

  1. Use Quick Search to find and open the member’s record.
  2. From the Member Action menu, navigate to Financials > Payment Plans.

Step 2 – Edit the payment plan

  1. Open the Payment Plan Action menu and select Edit.
  2. Alternatively, click the payment plan’s Instalment Progress bar to open the Edit Payment Plan screen.

Step 3 – Add the invoice to the payment plan

  1. On the Edit Payment Plan screen, click +Invoice.
  2. Click Yes to confirm that you want to add an invoice. The Instalment Allocation dialog box will open.
  3. Select the required Allocation Type. This is a mandatory field.
    • Distribute Across All Unpaid Instalments: The total invoice amount is divided equally across all unpaid instalments.
    • Add Invoice to a Selected Instalment: The total invoice amount is added to a specific instalment. If you select this option, choose the required instalment from the Select Instalment menu.
  4. Click the +Invoice button next to the invoice you want to add to the payment plan.
