Invoices Repository

The Invoices repository provides an overview of all invoices.


There is the ability to add / edit the columns shown on this page, perform bulk actions such as export, email, print and reverse invoices and to create an ad-hoc invoice / credit note.


Step by Step Guide


Step 1 - Navigate to the invoice repository

  • From the main menu select Financials and then Invoices




Step 2 - View Invoice details

  • Use the Invoice Status Tabs to view invoices. Statuses include:
    • Draft - invoice created and saved as a draft and is not available for payment
    • Outstanding - the invoice has an balance outstanding
    • Overdue - the invoice due date has passed and a balance remains outstanding
    • Defaulted - the invoice defaulted date has passed and a balance remains outstanding. Defaulted membership invoices will update the membership group statuses to Inactive and Unfinancial
    • Paid - all invoices paid in full (no outstanding balance)
    • On Payment Plan - the invoice has been added to a Payment Plan. When the final instalment is settled the invoice status will update to Paid
    • The bracket with a number within, after the heading name indicates how many invoices are in each status.



Step 3 - Customise your display 

  • Use the Show/Hide Column button
  • Tick/untick the column you want to display
  • Close the options by clicking X 




Step 4 - Perform a bulk action by selecting 1 or more members

  • Tick the Selected check box to select the invoices
  • Click the Bulk Action button and select the required action from the Menu Options. The options below are some of the bulk actions your can perform: 
    • Export Invoices
    • Send Email or SMS
    • Print
    • Add to Payment Plan
    • Reverse Invoices
    • Mark as Outstanding
    • Change Date
    • Delete Drafts
    • Add Promo Code
    • Email Direct Debit Agreement Requests
    • View Selected Invoices
    • View Associated Members




Step 5 - Create an ad-hoc invoice or credit note

  • Click the +Invoice or +Credit Note button on the Invoices screen and follow the prompts to complete the information to create an ad-hoc invoice or credit note


Note: Membership invoices must be created from the Memberships repository and selecting the member's individual action button then click $ Create Invoice
