SMS Module for MiMembership

SMS is a paid module and is provided in partnership with SMS Global.


Please contact your account manager for a proposal or complete the following order form:

Once your account is set up you will have access to:

  • Send SMS from MiMembership.
  • View and manage your account including top ups at SMS Global.


Sending SMS messages


Once setup, there are 3 methods to Send an SMS in MiMembership.


1.  From the Member's Profile.       

     When to use: SMS an individual member.


2.  Communications - Send SMS (From the Main menu).

     When to use: SMS an individual or several members.


3.  Select Members from a Repository (Eg. Member's Directory, Memberships, Invoices, etc).

     When to use: SMS multiple members in bulk from a repository. They might all be the same membership group 
     or have overdue invoices, statements or payment plan instalments. 


Note: If your SMS is more than 160 characters it will be split over 2 (or more) individual messages and charged accordingly. Use the character count as a guide when typing your SMS.


From the Member's Profile

Use this method when sending an SMS to an individual member.


1.  From the member's profile, select the drop down next to their name. 
     Navigate to Communication > Send SMS.


2.  Type the body of the message
     Use the character count at the bottom of the screen as a guide to keep your SMS under 160 characters (1 SMS).

     You can select the Field Variables to add data parameters to personalise the message. Eg. #firstName#.



3.  Preview the message by selecting the Preview button.


4.  Once happy with the SMS select Send.


5.  A pop up will display the estimated cost of sending your message(s). 

    Check that you have enough credit to send your message(s). If your balance is less than the cost of sending the 
    message, Cancel, top up your account and return to send your message.



Communications - Send SMS (From the Main menu) 


Use this method when sending an SMS to an individual or several members. 

You will need to manually add which members you would like to send to.


1.  Navigate to Communications and select Send SMS.


2.  The balance of credits available is displayed in top right. 
     If your account balance is low you should top up before composing your message.


3.  Type the member's name or member number in the To: field
     You can add multiple members to send an SMS in bulk.


4.  Type the body of the message

     Use the character count at the bottom of the screen as a guide to keep your SMS under 160 characters (1 SMS). 

     You can select the Insert Field choices to add data parameters to personalise the message. Eg. #firstName#.



5.  Preview the message by selecting the Preview button.


6.  Once happy with the SMS select Send.


7.  A pop up will display the estimated cost of sending your message(s). 

     Check that you have enough credit to send your message(s). If your balance is less than the cost of sending the 
     message, Cancel, top up your account and return to send your message.


Note: The balance displayed will not update until the page is refreshed. Copy your message before refreshing.



Select Members from a Repository


Use this method to bulk SMS members from a repository. They might all be the same membership 

group or have overdue invoices, statements or payment plan instalments. Use your filters in the repository to find the members and select the tick box on the left side to bulk SMS.


This is the only method you can send a link in the SMS to the member's invoice, statement, payment plan, etc. 

See 'Document Link' data field details below.


1.  Navigate to the repository in MiMembership to select the members you want to SMS. 
     Currently you can send SMS from the Members, Memberships, Invoices, Accounts & Statements repositories.


2.  Find the members to SMS using your tabs, filters and columns. Select the tick box on the left 


3.  From bulk actions drop-down, select Send SMS (screenshot above).


4.  In the Send SMS Message screen, check the members selected by clicking on the recipient count.


5.  Type the body of the message

     Use the character count at the bottom of the screen as a guide to keep your SMS under 160 characters (1 SMS). 

     You can select the Insert Field choices to add data parameters to personalise the message. Eg. #firstName#.


Note: Document Link Data Field - links to individual member's document. (Eg. Overdue invoice).

Only available when SMS is initiated from a repository (Invoices, Statements, Payment Plans, Payments).



6.  Preview the message by selecting the Preview button


7.  Once happy with the SMS select Send.


8. A pop up will display the estimated cost of sending your message(s). 

     Check that you have enough credit to send your message(s). If your balance is less than the cost of sending the 

     message, Cancel, top up your account and return to send your message.



SMS Credit Balance

Your credit balance will be displayed in the top right when composing a message in MiMembership.

When you hit send, the system will estimate the cost of sending the message.


If you need to top up your account you can do so from SMS Global




FAQ


What happens if a member replies to the SMS?


An SMS sent from MiMembership is a one way message. Reply messages from the member will not be received by the club.



Where can I find the SMS History for a member?


You'll find the SMS history from the member profile and selecting the drop down next to their name > History > SMS History.



You can also see the SMS history of all members from the left hand Main Menu > Communications > SMS History.




Can Members opt out of receiving an SMS from MiMembership?


Yes, but not directly from the SMS. All members will have the SMS checkbox ticked on their profile (next to their mobile number).
Once unticked, you'll ensure they'll never receive an SMS from MiMembership.
