Transfer Balances Between Accounts

Complete this process to transfer a credit balance between individual member accounts or between member to member accounts. Account type settings must first be configured to allow transfers: complete the instructions on how to Configure Account Types for Transfer >



Step by Step Guide


Step 1 - Open the Transfer account screen

  • Use the Quick Search feature on the main menu to open the member record
  • Click the hyperlink on the Account tab name (to open the account with the credit balance to transfer)
  • Click the Account Action button and select +Transfer from the menu options



Step 2 - Select the From and To Account member and accounts

  • Select the From Account from the drop menu options
    • This is the account the credit will be transferred 'out' from (debit)
    • Only accounts with a credit balance, and account types configured to allow transfers, will be available for selection
    • This action will auto populate by default the current member record name in the Account To field
  • Select the To Account Member Record:
    • This is the member record to receive the transferred credit
    • If the transfer is between the Individual Member accounts leave the default member record in the name field
    • If the transfer is from Member to Member overwrite the default member record name by entering the recipient member number or member name and select from the drop menu
  • Select the To Account available from the drop menu options
    • This is the account the credit will be transferred 'in' to (credit)
    • Only account types configured to allow transfers will be available for selection



Step 3 - Enter the amount and confirm the transfer

  • Enter the Amount to transfer. This is a whole number i.e. 100.00
  • (Optional) enter a Description note for the transfer. This appears on the credit and debit account transactions
  • (Optional) change the Transfer Date
  • Click the Continue button. This action will open the confirmation dialog box
  • Review the transfer details and click the Confirm Transfer button. This action completes the transfer. The system will auto generate an invoice to debit the From Account and credit note to credit the To Account


Note: The 'Account Requiring Allocation' display menu will appear. No actions is required for accounts configured to auto allocate i.e. charge accounts. To manually allocate the transactions complete the instructions on how to Allocate a Payment or Credit >
